Common PDF Problems and Workarounds

One of the top issues I see in an office is always PDF problems — either a PDF file won’t open or a font won’t load or someone wants to edit one and can’t. I’ve put together some easy-to-implement workarounds (from Adobe.com themselves even) to help you conquer these dilemmas.

Problem 1: Compatibility Issues

Question: Have you ever experienced issues with your PDFs not displaying correctly on different devices or in Office?

Solution: Ensure compatibility across platforms by optimizing your PDFs. Adobe Acrobat offers a handy guide on optimizing PDFs for various platforms and devices. You can find detailed instructions as well as a section on MS documents.

Problem 2: Editing Snags

Question: Ever needed to make changes to a PDF but found yourself unable to edit it directly?

Solution: The easiest solution is to get Adobe Acrobat Pro which lets you easily modify text, images, and other elements within the PDF. Adobe provides a step-by-step guide on editing PDFs using Acrobat Pro.

Problem 3: File Size Woes

Question: Do you struggle with large PDF files when sharing or uploading them? How do you even find out how big your PDF is? If you’re using Adobe Acrobat, checking the size of your PDF is simple. Just click on File, then Properties. You’ll see lots of information about your document, including its size.

You can see in the file above, it’s almost 15mb — it could be too big for some Outlook exchange inboxes. We’re gonna need to shrink it.

If you don’t have Acrobat or access to Pro, Adobe also offers its own free pdf compressor where you simply upload your file and it compresses it for you.

Problem 4: Security Concerns

Question: A lot of times I’ve been in roles where grants or proposals needed to be sent electronically and it worried Board members. The security of sensitive information is more important than ever. Is there a way to even password protect files? Yes!

Problem 5: Data Extraction Challenges

Question: Struggling to extract or cut out specific images or content from a PDF?

Solution: Adobe provides various methods for extracting data from PDFs, such as exporting tables to Excel or extracting text using the “Export PDF” feature or simply copy and pasting an image. Check out Adobe’s instructions on data extraction

Problem 6: Accessibility Limitations

Question: Concerned about making your PDFs more accessible?

Problem 7: Form Frustrations

Question: Don’t you love filling out or submitting PDF forms? How about creating them from word documents or from other PDFs and have no idea what to do?
